Job Requirements

Position Summary:

We are growing! We are looking for an office manager to keep the office running smoothly by carrying out a range of administrative, financial, buying and managerial tasks to ensure that the office is running effectively on a day-to-day basis. As HR specialist, you will also be responsible for executing an exciting and attractive people & Culture strategy and provide support on the primary HR administrative duties. You will be a culture ambassador and the prime example of how to act on the VDB values.


You will be in a fast-paced environment; you are not scared to jump in on essential work for clients, being hands on any obstacle that requires your assistance.

More specifically, these will be your responsibilities:

  • Handling office tasks, such as generating reports and presentations, setting up for meetings.

  • Ownership of company events planning and management.

  • Providing real-time scheduling support by booking appointments and preventing conflicts.

  • Generate reports, create presentations, and conduct research.

  • Greet and assist visitors.

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Managing office Operations, welcoming clients, keeping the office tidy and live.

  • Ensuring on time office replenishment of office equipment and refreshment, managing our cleaner schedule, organizing the works and the process around the office living space.

HR Support

  • Support HR operations management: Contract, NDAs, Objectives, holidays, JDs, payrolls

  • Onboarding preparation & management and welcome to new joiners

  • People & Culture Plan: events, communications, team initiatives, and incentives.

  • Internal communication newsletter and website: own the internal communication process and website and organize and coordinate stakeholders to be on-schedule on delivery of quality content based on the agreed plan.

Job Skills & Qualifications:

  • Office Management skills demonstrated through previous experience .

  • Excellent in Multitasking.

  • Comfortable handling and working with confidential financial information.

  • Hard worker, proactive.

  • Mindset: Solution oriented (don’t take no for an answer), accountable, adaptable, curious, customer centric, sense of urgency

  • Competency in microsoft excel, powerpoint and/or google suite equivalent. Excellence in powerpoint.

  • Out-of-the-box thinker and not shy to dare.

  • Outgoing personality and flexible to jump outside her/his competencies when needed

  • Competency in Microsoft Excel, PowerPoint, and google suite equivalent. Comfortable with the use of online tools.

  • Excellent problem-solving skills and willingness to roll up one’s sleeves to get the job done.

  • Detailed-oriented & organized while being able to think outside the box.

  • Strong team player and collaborator. Capacity to coordinate under short and stressful deadlines and situations.

  • Flexible mindset, able to adapt to changing priorities and information.

  • Fluent English is a must; conversational Spanish; other languages are a plus.
