Job Requirements

Position Summary:

We seek an experienced Property Manager to join our team and take ownership of our Property Management department, which is becoming a critical business line in our 2023 strategy.

In your role, you will be in charge of delivering 5-star quality service to our high-net-worth international clients, mainly owners & tenants, looking for a trusted partner to manage one or more of their properties in Barcelona. You will show great energy, be able to build relationships, meet revenue objectives, and have the strongest desire to find the best solution possible to accomplish work and always go a step beyond.

In this role, you will be managing very high-standing properties & representing VDB in front of its clients. Client-facing and working in the background contributing to delivering the most amazing customer experience, your role will be diverse. You will need to jump from high-level management to detail-oriented work, passing by client relationships management and sourcing.

We present you with the opportunity to lead your department and demonstrate your impact directly. You will ensure the asset value of high-level properties is maintained and improved and that the life client cycle extends to assure an end-to-end service to our clients.

More specifically, these will be your responsibilities:

  • You will manage a pipeline of incoming Property management leads: will have to respond fast, leveraging the proven and successful VDB ́s tone of voice: qualify them and prioritize them based on specific VDB criteria and your business acumen.

  • You will also manage a pipeline of existing VIP clients or new clients that the rental and sales department will pass on to you once they buy or rent their property and require property management services. You will switch from Spanish to English and vice versa with ease. You will ensure client satisfaction and maximize retention by identifying champions and possible detractors.

  • Being in Luxury is no minor deal; our clients are VIPs. Therefore, you will need to adopt a Client-First mindset and focus on well-handling your communication as much as the actual issue, answering promptly and frequently.

  • You will be responsible for the pricing strategy of the property management service, the commercial proposal to clients, the negotiation, and the final collaboration contract.

  • You will build a seamless and high-quality check-in and check-out process in collaboration with the rental department to ensure execution.

  • You will be responsible for supporting the rental team in every client’s check-in and check-out process. Therefore, one of the primary responsibilities of your role is guaranteeing a seamless, high-quality check-in and our preparation.

  • Additionally, you will be expected to register all contacts in our CRM system and manage the administrative tasks through the new and integrated Property management system.

  • You will be managing a team of 1 person initially with the possibility of growing to 2+ in the year’s second half.

  • You will be responsible for correctly managing luxury properties and buildings and their complex facilities, such as pools, spas, gyms, communal areas, etc., and the overall property management process (inventory, replenishment, maintenance & cleaning). In addition, you will coordinate the care and management of high-end luxury apartments and houses.

  • Prepare weekly reports on the milestones, client & property status. You must stay on top of your projects, always plan the next step, keep track of progress, costs, and revenue, and report on these. Organize the delivery of a monthly report to our property owners.

  • Intervention on Site. It may range from going on-site to evaluate the overall condition of a property to handling a specific issue on behalf of the client or coordinating workers and maintenance specialists.

  • You will be responsible for hunting and curating relationships with trusted partners, providers, and collaborators. In addition, you will be in charge of negotiating the best practice for our VDB clients by adopting a developed cost-minded approach while never compromising on quality and expressing your negotiation skills.

  • You will ensure the organization and classifications of our providers and partners in the CRM.

  • Finally, you are accountable for the profit and KPIs target of the property management line of business.

Job Skills & Qualifications:

  • Property Management skills demonstrated through previous experience

  • Capacity to understand the numerical aspects of projects.

  • Excellent in Multitasking.

  • Competency in Microsoft Excel, PowerPoint, and google suite equivalent. Comfortable with the use of online tools.

  • Excellent problem-solving skills and willingness to roll up one’s sleeves to get the job done.

  • Detailed-oriented & organized while being able to think outside the box.

  • Strong team player and collaborator. Capacity to coordinate under short and stressful deadlines and situations.

  • Excellent communication and interpersonal skills.

  • Outstanding and brave negotiator, always looking for the best price negotiation without compromising the quality.

  • Flexible mindset, able to adapt to changing priorities and information.

  • Fluent English is a must; conversational Spanish; other languages are a plus.

  • Strategic and commercial perspective.
